Vendor Registration Overview
Firms that register with the City of Battle Creek will be notified of formal bid and proposal opportunities for the commodity or service categories that have been selected, for those contracts with the City that will exceed $20,000 annually.
It is NOT necessary to register as a vendor in order to bid on City projects, to do work for the City, or to get paid. That is a separate process after a PO is issued.
It is the sole responsibility of suppliers to register and keep the City updated to ensure its accuracy.
Bid/proposal solicitation notices will be electronically sent to registered suppliers. For this reason, it is important to enter an accurate and appropriate E-mail address. The City will use its best effort to notify registered suppliers of bid and proposal opportunities. However, the City does not guarantee delivery of Bid Notices through any mail service or by electronic processes. It is the suppliers’ responsibility to read the Bid Notices and to retrieve the complete solicitations in a timely manner.

Does the City pre-qualify vendors? Only if required by a grantor. A firm's qualifications will be evaluated in the event they are the low-bidder.

Do vendors have to be registered with this process in order to bid on City projects? No. Vendor registration is a notification system only. It is not required to bid on City projects or receive payments.

Does the City have a local preference? No.

Does the City have a DBE preference? Only if required by a grantor.

Why doesn't the City have electronic vendor registration? At this time, the new website does not have the ability to import the information into our existing database.

Why can't I fax or email my registration form? Because we're in the process of re-registering vendors, the City does not want to bear the cost of printing applications.

Does the City ever purge its database? Yes. In 1999, the City required all vendors to re-register with the City. We're are doing that again in 2010. We do this because vendor information becomes outdated. Please be sure to update the City with any changes, particularly with email. It's best for companies to have a generic email (e.g., sales@abccompany.com) rather than using an email tied to a staff person's name (due to turnover).
1. Complete the Vendor Registration Form (does not have to be typed), using the NIGP Code list to find the applicable Commodity/Service codes
2. Please note that forms that say "all codes" or "codes on file" will be rejected without notification.
